Load Link Freight – Load Matching Platform
Effective date: 13.10.2026
1. Who we are and how to contact us
Load Link Freight (“we”, “us” or “our”) operates the load-matching platform described in our Terms and Conditions. This policy explains the personal information involved when you browse, register, list or take a load, message another user, share documents or raise a dispute.
For privacy questions or to exercise your rights, contact loadlinklogistic@outlook.com. Please identify the account or information your request concerns without sending unnecessary identity documents.
This policy should be read alongside our Terms and Conditions. Load Link Freight provides introductions and communication tools; it is not the carrier, a party to your transport contract or a payment guarantor.
2. Information involved in using Load Link Freight
Account and profile information: your email address, company name, telephone number, account type, selected vehicles, account creation and sign-in information, and records of your agreement to the terms. If you use Google sign-in, account information is supplied through that sign-in service.
Load and job information: load descriptions, collection and delivery locations, multi-drop stops, requested and confirmed dates, vehicle and handling requirements, weights, pallet or box quantities, proposed budgets, job status and the accounts involved in the job. Locations and instructions may include information about drivers, customers or site contacts.
Communications: messages between companies and carriers and information you send to support.
Verification and insurance information: company and VAT numbers, supporting documents, insurer, policy number, cover amount, expiry date and uploaded policies, where you choose to supply these.
Dispute information: the parties involved, reason, description, photos and documents, review status and resolution notes.
Recommendation inputs: a location or postcode, preferred travel radius, optional destination, saved vehicles and capabilities supplied when requesting suitable loads.
Technical information associated with using an online service may include connection, device, browser and error information. Account sessions use browser storage or cookies to maintain sign-in.
Please do not upload unrelated personal information, special-category information such as medical records, or identity documents that are not needed for the matter concerned. Redact irrelevant information in policies, photographs and other evidence.
3. Why information is used and lawful bases
Account, listing, messaging and job information is used to provide the platform you request, including registration, load matching, communications and job management. Where necessary to perform our contract with you, the lawful basis is performance of a contract. Where an individual uses the platform on behalf of a business, legitimate interests may instead apply to providing that business service.
Account administration, preventing misuse, handling support enquiries and reviewing disputes may rely on legitimate interests in operating a reliable platform and protecting users. Those interests must be balanced against individuals’ rights.
Where processing is required by an applicable legal obligation, that obligation is the lawful basis. Where consent is the appropriate basis, it must be specific and can be withdrawn; withdrawing consent does not affect processing already carried out lawfully.
Agreeing to the Terms and Conditions is not blanket consent to every use of personal information. Approval to share an insurance document controls that sharing; it does not authorise unrelated uses of the document.
4. What other users can see
The load board is publicly accessible. Load listings, company names and any displayed company badge can be seen by visitors, including people who have not signed in. Do not put private contact details, sensitive delivery instructions or unnecessary personal information in public listings.
Messages are made available to the participants in the relevant conversation. Job and calendar information is used by the parties involved in that job.
A company can request a carrier’s insurance information within a load conversation. The company receives access to the policy details and document when the carrier approves the request. A recipient may retain information they have already viewed or downloaded; closing your account cannot recall those copies.
Delivery disputes and their evidence are available to the relevant parties and authorised reviewers. Authorised administrators can access member information for account administration. This access does not make an administrator a party to your transport contract.
Other companies and carriers are responsible for their own use of information received to arrange or perform transport. They must have an appropriate lawful basis for that use and must not misuse personal information obtained through Load Link Freight.
5. Recommendations and external services
Requesting load recommendations involves matching your supplied location, radius, vehicles and capabilities against available loads. Recommendation inputs and eligible load information may be processed by an AI service to rank suitable results. Recommendations are advisory; you decide whether to contact a company or agree a job.
Postcode lookup and fuel-price features use external information services. Google sign-in is optional and subject to Google’s own privacy information. External websites linked from Load Link Freight have their own privacy policies.
Service providers involved in operating the platform may process information on our behalf. This notice does not assert a particular provider’s certification, hosting location or international-transfer safeguard. Contact us if you need details of the providers or arrangements relevant to your information.
We do not process transport payments through the platform. Payment arrangements and any financial details exchanged directly between a company and carrier are their responsibility. Do not send payment-card details in load listings or messages.
6. Other reasons information may be disclosed
Information may need to be disclosed where required by law, a valid regulatory or court request, or where necessary and lawful to investigate misuse, protect rights or address a dispute. Any disclosure should be limited to what is appropriate for the purpose.
Sharing information with another user to arrange a delivery is separate from sharing it with Load Link Freight. Ensure you have the right to share employee, driver, customer and other third-party information, as required by section 15 of the Terms and Conditions.
7. Keeping and deleting information
Different records can have different retention needs, including operating an account, administering jobs, recording terms acceptance and dealing with disputes or legal obligations. This policy does not set a fixed retention period or promise immediate deletion of every record when an account is closed.
To ask what is held about you, how long a particular record is kept, or to request account closure or deletion, email loadlinklogistic@outlook.com. We will consider the request and any applicable legal grounds for retaining information. Information already obtained by another company or carrier is subject to that organisation’s own responsibilities.
8. Your rights
Depending on the circumstances and applicable law, you may have rights to access your personal information, correct inaccurate information, request erasure, restrict processing, object to processing based on legitimate interests, and receive certain information in a portable format.
Where processing relies on consent, you can withdraw that consent. Rights are not absolute; a legal exception may apply. We may need proportionate information to establish your identity before disclosing or changing account information.
Email loadlinklogistic@outlook.com to make a request. Applicable UK data protection rules normally require a response within one month; permitted extensions or exceptions may apply, and we will explain where relevant.
You can complain to the UK Information Commissioner’s Office at https://ico.org.uk/ or to another competent data protection authority. You may contact us first, but you do not have to do so before raising a complaint.
9. Browser storage and cookies
Sign-in requires session-related browser storage or cookies. Blocking or clearing that storage may sign you out or prevent account features from working.
This policy is not a claim that every cookie or third-party tracking technology has been audited, or that only essential storage is present. Any non-essential cookies or similar technologies requiring consent should be described and offered with appropriate choices before use. Contact us for questions about storage on your device.
10. Protecting information
Keep your account credentials private, use a password that you do not reuse elsewhere and sign out on shared devices. Check recipients before sharing documents and report suspected misuse to loadlinklogistic@outlook.com.
No online service can guarantee absolute security. This policy does not promise a particular security certification or eliminate users’ responsibilities to protect the information they receive.
11. Business use
Load Link Freight is intended for businesses, load owners and independent carriers, not for use by children. Do not include children’s personal information in listings, messages or uploaded evidence unless there is a necessary and lawful reason.
12. Changes to this policy
The effective date above identifies this version. Check this page for updates. Any new use of information must have an appropriate lawful basis; publishing an updated policy alone does not replace consent where consent is legally required.
For questions about this policy, contact Load Link Freight at loadlinklogistic@outlook.com.
